Use a service brief before you use a search phrase

Describe the work you want to find: who needs it, the problem they are trying to solve and what your agency can deliver. "Marketing help" is broad. A request for someone to rebuild a slow booking website gives you a more concrete question to assess.

Keep the brief practical. Include geographic limits if they matter, the project sizes you accept and any requirements you cannot support. When you monitor on behalf of a client, agree on what counts as relevant before anyone starts replying.

The community prospecting workflow for agencies and recognizing buyer requests on LinkedIn show the brief in use. LinkedIn monitoring covers how the searches run.

Read requests in the context of your offer

Consider this illustrative request: "Looking for a designer to update a restaurant website before our reopening." There is a stated project and a deadline. You still need to understand scope, whether the timing is achievable and whether the author wants agency recommendations.

A post saying "Our agency stopped replying" is less conclusive. The person might be asking for advice about the existing engagement. Read the thread before assuming they want a replacement.

The opportunity checklist can help you record what the author has stated and what still needs checking.

Decide who will respond

Agree internally on who reviews the source and who speaks for the business. If a colleague has already replied, add that to your own review notes before anyone sends another message. Explain the connection between your agency and the service you are recommending.

Keep that handoff in your team's existing process. Responses happen manually at the original source. Follow its rules and answer the request with information you can stand behind.
