A referral is optional, not a fallback obligation. If you do not know an appropriate provider, leaving the conversation is better than inventing a recommendation. The post names a service, industry, staffing model, and deadline. A specialist can check those requirements against their actual work. A generic payroll product may still be a poor fit if it does not address the situation the buyer described.
Record unknowns separately. The author has not stated a budget, decision process, or whether they want software, implementation help, or an ongoing service.
Choose among reply, clarify, and leave
Reply when the need fits, your facts are current, and the source welcomes the response. Ask a focused question when a missing detail determines fit. Leave the conversation when the work is outside your scope, the request is resolved, or the author wants recommendations only from customers.
A busy thread does not need another general pitch. Read existing answers and add something that addresses an unanswered requirement.

Prioritize the request you can answer usefully

Request A says, "Need payroll help urgently." Request B says, "Our restaurant is opening a second location next month. Looking for a payroll specialist familiar with hourly staff."
Request A has urgency but little information about scope. Request B gives a clearer fit test. A restaurant-payroll specialist may prioritize reviewing B while asking one focused question about A. Urgency alone does not make A a better opportunity.
Use a two-column note: facts the author supplied and details that would change your decision. If the missing detail would not change your fit or the next response, do not ask for it simply to fill a qualification form.
Recheck the request immediately before replying. An unanswered question in your notes may already have an answer in the thread. This editorial prioritization method reduces duplicate questions and helps you leave unsuitable posts alone.

The mistake to avoid is silently filling the gaps from the author's job title or the size of the business. Two locations do not tell you how many employees are on payroll. "Next month" does not mean they are ready to sign today.
If new information arrives, update the same note rather than keeping two conflicting versions. For example, if the author says they only want software, a payroll service can stop the sales review while a suitable software provider checks its current support for hourly staff. If the author has already chosen a supplier, mark the search resolved even if the original post still looks relevant.
